Job Description

Quest Group Executive search is seeking a highly organized and detail-oriented individual to join our clients SW Houston office legal team as a Legal Administrative Assistant. The ideal candidate will provide crucial administrative support to our legal department, ensuring smooth daily operations and efficient workflow. This role involves managing legal documents, scheduling meetings, and assisting in legal research, among other tasks. The Legal Administrative Assistant plays a pivotal role in maintaining accurate records and supporting attorneys and paralegals in their responsibilities.


Key Responsibilities:

Document Management:

  • Organize and maintain legal documents and case files.
  • Prepare and process legal correspondence, reports, and forms.

Calendar and Case Management:

  • Manage attorney calendars, scheduling appointments, hearings, and meetings.
  • Coordinate case deadlines and maintain case management systems.

Administrative Support:

  • Answer phone calls, take messages, and handle general inquiries.
  • Draft and proofread legal documents, letters, and memos.
  • Assist in billing and invoicing processes.

Research and Analysis:

  • Conduct legal research and compile data for attorneys.
  • Summarize legal documents and prepare summaries for review.

Client Interaction:

  • Communicate professionally with clients and external parties.
  • Assist in preparing and distributing client communications.

Compliance and Filing:

  • File legal documents with courts and regulatory agencies.
  • Ensure compliance with legal procedures and regulations.


Requirements:

  • Proven experience as a Legal Assistant, Legal Secretary, or similar role.
  • Familiarity with legal terminology and procedures.
  • Proficiency in MS Office (Word, Excel, Outlook) and legal software (e.g., Clio, MyCase).
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to handle confidential information with integrity.


Preferred Qualifications:

  • Associate's degree or certification in Legal Administration or related field preferred - experience in lieu of degree ok
  • Experience in a law firm or legal department setting.
  • Ability to prioritize tasks and work under pressure.
  • Attention to detail and accuracy in document preparation and management.
